How to Build Good Relationship With others Quick Reference Card Goal: Build up a highly effective, trustful and harmonious network with others. Be Polite - Be patient and listen to others, e.g. don’t interrupt other’s conversation/discussion. - Speak English during meeting with engineers from other locations. - Show your appreciation for others’ help. - Don’t embarrass/blame others, e.g. don’t say, “It is a bad idea”. - Give a proper self-introduction at the beginning of the conference/email. (Your name and the                    function area you are from) Be Accountable - Speak the truth. - Be responsible, e.g. don’t give many excuses when making mistakes. - Take the calculated risk. - Follow through on issues, e.g. track the progress and coordinate efforts to resolve the issues. Be Professional - Be willing to give others help and feedback. - Avoid being defensive when receiving feedback. - Be willing to share experience/knowledge/ideas. - Respond to other’s requests by the due date. - Keep relevant engineers informed of the status. - Understand the cultural differences. - Avoid making the same mistakes. - Learn from others’ mistakes. - Use proper communication method based on the issues’ priority and urgency; e.g. call the  person up for urgent issues besides using email. - Escalate the issue using proper methods; e.g. send email to the relevant person only instead of broadcasting it. - Be aware of the time differences. - Provide a reasonable duration so that others can have enough preparation time. - Do your own investigation first before asking for help. Confirm the following before writing an email: - The urgency of the issue. (Do not rely on email for urgent issues) - The key purpose and information to deliver. - The primary recipients (to-list) and the secondary recipients (copy-to-list). Have the Right Attitude - Don’t write words with all uppercase, e.g. THANKS, which means you are shouting. - Don’t write emails when you are emotional (angry, depressed, etc.) Write it later. Be Concise - Use a meaningful and concise subject. - Use simple words. - Use short sentences. (Read them out to check their length) - Use short paragraphs. (1-2 points per paragraph) Be Clear - State the purpose clearly at the beginning of your email. - Put the important things towards the beginning of the email. - Use bullet list (“-, -, -”) or enumerated list (1., 2., 3.) for clarity. Provide Adequate Information - Provide necessary information, e.g. supporting data, background information, and make sure that the receivers can easily understand these. - Provide the URL/link to the file if the content is too big, and provide an abstract for easy understanding. - Use official documents as your reference if possible. Show Our Value - Provide you suggestions/comments with supporting data. - Share your proposed solutions, and ask for comments. Some Email Tips - Acknowledge other’s effort first, then state our ideas clearly, e.g. “I understand where you are            coming from, and my point of view is …” - Include the corresponding managers in the copy-to-list when acknowledging other’s help, or for high priority and urgent issues. - Ask another engineer to review your email before sending an important/long email, or if you are not sure how much background information should be provided. - Send out the email in an appropriate time in order to get timely response. (Be aware of the time differences) - For high priority or urgent issues, call the receiver after sending out an email, and leave a message if the person is not there. - Run “Spell” on your email to check for typo before sending. Time Management Reference Card (Series I) Points for all - Put meeting schedule into your daily “to-do” list timely. - Mark calendar or put down appointment on notebook timely. - Check calendar before you go out for a long while. - Use alternate reminder tools such as watch or mobile phone if you are not in cubic. - Avoid interruption before the meeting. 要尽量通过电话来进行交流,沟通情况,交换信息。 要学会限制时间,不仅是给自己,也是给别人。 Points for Coordinators - Check with attendees about time slot they preferred in advance.
