Dear Dr. Sara,
How time flies! It was here that we gave you our hearty
welcome one year ago. We are now here again to bid you farewell.
As you are to return to London, I take the greatest pleasure of
sending you, on behalf of all members of this university and in my
own name, our good wishes for the future.
I must also express our thanks to you for the personal interest
you have shown in our business over the past year. As you know,
we have established a close friendship between us. We especially
appreciate such close relationship with you. And, without your
help, we could not possibly have set up a partnership between the
two universities, nor could we have settled the student-exchange
program. We appreciate your fruitful cooperation, and we sincerely
hope such cooperation which has already so happily existed
between us will continue for many years to come.
We wish you good health and every success in the future!
Wish you a pleasant journey home!

Ⅲ.Reading
Farewell, the Last But Not the Least
Farewell is the last, but not the least work of reception. An FA secretary should get farewell well-arranged to make the foreign guest feel home and want to come back.
To follow a prescribed order in farewell arrangement is essential for an FA secretary. Farewell arrangements begin with arranging the farewell dinner if there is one. Usually, about one week ahead, the FA secretary notifies the staff canteen (or some preferable restaurants) of the farewell dinner and discusses with the chef about the menu. If a farewell speech is needed, telephone or send e-mails to the person who is going to deliver the speech and remind him/her of the speech, the time and place of the dinner. Similarly, inform all the participants of the farewell dinner.
Next, a car or a coach should be arranged to pick up the guest from the hotel to the airport on the departure day. The FA secretary should call
192
the administration office two or three days in advance, and confirm the car arrangement one day before departure.
Some people may wish to see off the guest personally. In such a case, the
FA secretary should notify these people of the guest's departure time from the hotel or the departure time of the plane if they like to go to the airport directly.
Checking ETD (Estimated Time of Departure) is a must. The FA secretary can telephone the airport several hours ahead to confirm the flight and see if there is any change.
The airport sets the time for check-in and boarding. It is set as follows:
Domestic Flight
International Flight
Check-in
Start 1.5 hours before take-off
Close 0.5 hours before take-off
Start 2 hours before take-off
Close 45 minutes before take-off
Boarding
Start boarding about 0.5 hour before take-off
Close the boarding gate about 10~15 minutes before take -off
Therefore, before heading for the airport, the FA secretary should go to the hotel several hours before the plane takes off and help the guest to check out. The secretary should make sure the guest has collected all his/her belongings, documents (especially passport), and has taken all luggage.
After arriving at the airport, it is the FA secretary's job to help the guest with customs formalities and check-in. It is essential for the secretary to wait in the departure lounge with the guest till the time for boarding. When the guest starts boarding, the secretary should wave goodbye to him/her. It is only after the secretary sees the plane take off and disappear in sight can he/she leave the airport.
Task 1 Read the text and answer the following questions
1. Is seeing the foreign guest off a part of the reception work?
2. When should an FA secretary arrange the farewell dinner?
3. What should an FA secretary make sure before the guest leaves the hotel?
4. When can the guest start check-in for an international flight?
5. What should an FA secretary help the guest do at the airport before departure?
6. When can the secretary leave the airport after the plane takes off?
